    We are currently looking for a Full Time Administrative Assistant (Contracts Department) to join our team in Anaheim, CA.

    Responsibilities

    Provide administrative support to the Contracts Paralegal and additional departments as needed. Draft, review, edit and manage (through to the signature stage), low-level Services Agreements. Manages electronic files and database to ensure timely action is taken on renewals, prices increases, etc.

     

    • Performs a wide variety of general to complex office tasks. Duties include but are not limited to:
      • Order office and miscellaneous supplies.
      • Answer telephones
      • Run documents between floors and departments
      • Provides additional administrative support to different departments on an as need basis
    • Provide administrative support to Contracts Paralegal
      • Save interdepartmental reports to electronic files
      • Prepare preliminary contract drafts for paralegal to review
      • Maintain contract templates and ancillary list
      • Maintain and create electronic files
        • Set up client files in directory
        • Set up needed folders in client files
        • Use in house file naming convention
      • Send document drafts for client approval
      • Follow up with clients regularly until documents are client approved
      • Finalize contract agreements for clients signature
      • Coordinate contract signatures using Adobe e-Sign
      • Send client a fully executed copy of contract
      • Upload executed contracts to database
      • Maintain contracts database
      • Review monthly reports to determine contract renewals
      • May need to research regulations or legal information on line.
    • Complete various forms:
      • Internal Notices
      • Rep. and Cert. forms
      • Business Vendor packets
    • Performs additional duties and assumes additional responsibilities as identified by supervisor for the efficient operation of WorkCare

    Qualifications

    • Must have high school degree or equivalent
    • Additional college education to Associates Degree preferred
    • Minimum two (2) years contract administration or legal office experience required
    • Experience supporting multiple departments a plus
    • Must be able to demonstrate the ability of maintaining privacy and confidentiality
    • Critical thinking skills; make independent decisions in accordance to company policy and procedures
    • Ability to take initiative on issues that arise daily
    • Ability to organize resources and establishing priorities
    • Ability to gather data, compile information and prepare reports
    • Excellent communication skills (verbal and written)
    • Must have high level of initiative and work well in a fast paced environment
    • Ability to handle stressful situations and deadline pressure well
    • Plan and carry out responsibilities with minimal direction
    • Must be competent in the Windows operating system environment, Adobe Professional, Microsoft Office Suite (Outlook, Word, Excel and PowerPoint) and learn other software as needed
    • SharePoint experience is a plus.

    Ideal candidate is organized, proactive, analytical, and has superior project management skills to deliver top notch client service.
